Section 7. Learning Modalities and Resources:
Academic Residencies, Labs, and Intensives Requirements

Residency Requirements

Academic Residencies, Labs, and Intensives Requirements

As part of Office of Academic Affairs, Academic Residencies plans, coordinates, and delivers academic events and experiences for bachelor’s, master’s, and doctoral students, which include academic residencies, labs, and intensives.

Academic residencies, labs, and intensives are face-to-face or synchronous virtual learning experiences held throughout the year for students to meet with college faculty, administrators, and representatives from the Office of Academic Support (Writing Center, Career Planning and Development), Walden Library, Office of Research and Doctoral Services, and student success advisors and other student support staff. They provide a foundation on which students can progress through the process of completing the degree by developing scholarly research and professional skills that reflect the university’s mission of positive social change.

The following core goals guide the student experience during required residencies and labs:

  • Socialization into degree program expectations and the professional community
  • Development of graduate research skills
  • Promotion of scholarship and professional skills
  • Discussion of the role that scholarly research and professional skills can play in the university’s mission of positive social change

See Residency/Lab Requirements and the Walden Residencies website and required timing.

Technology Requirements

In most programs, students participating in academic residencies, labs, and intensives are required to use a personal computer (laptop) or tablet for their work. The personal computer or tablet must meet Walden University’s minimum technical requirements.

For students attending a virtual event, in addition to the standard Walden technical requirements, their computers must meet these technical requirements:

  • Have speakers or headset
  • Have a microphone
  • Have a webcam (minimum resolution at 640 x 480 standard definition)
  • Have high-speed internet
  • Zoom web-conferencing software

Registration and links to residency, labs, and intensives information are available through the myWalden university portal and the Walden Residencies website.

Virtual Residencies, Labs, or Intensives

Laptop or Desktop Computer

Students are required to attend all sessions using a laptop or desktop computer (or another device) that enables them to see the screen, fully and actively participate and engage in sessions, and have access to download and read resource documents and session presentations. It is acceptable to use a phone to call into sessions as long as you also have a laptop or desktop computer to see the screen. You should be camera-ready at all times and be prepared to share your camera and mute or unmute your microphone as directed by your cohort leader/instructor.

Speakers or Headset

The virtual event is designed to be a collaborative learning environment. You are required to use audio functions in order to listen to synchronous sessions.

The virtual sessions are student-centered, interactive experiences where all students are expected to take an active role in learning, contribute to the dialogue, and engage fully in large and small group activities.

Speaker options include the following:

  • Computer speakers which allow you to listen to computer audio
  • Call in to listen and speak with your phone
  • An external speaker with USB or AUX attachment
  • A headset with USB or AUX attachment

Microphone

Students are required to have and use microphones to participate in virtual sessions.

You should be prepared to mute or unmute your microphone as directed by your cohort leader/instructor.

Microphone options include the following:

  • Computer microphone
  • Call in to listen and speak with your phone
  • An external microphone with USB or AUX attachment
  • A headset with microphone with USB or AUX attachment

Many virtual sessions will have a chat feature that can also be used to interact without audio while session leaders are presenting.

Webcam

Students are required to use webcams to engage in virtual sessions.

  • Webcams should have a minimum resolution at 640 x 480 standard definition.
  • You should be camera-ready at all times and be prepared to share your camera as directed by your cohort leader/instructor during any session.

Internet

Students are required to use reliable, high-speed access (cable, DSL, nnetwork) for all virtual sessions.

  • The suggested speed is 1 Mbps or better (broadband recommended).
  • To learn about your internet speed, use Speedtest.net as a broadband speed analysis tool that allows anyone to test their Internet connection. The speed test will test all available bandwidth on your network, but it does not take into account other users on the network that may be using bandwidth at the same time.

Required Training

All participants are required to attend one Virtual Orientation Training Session prior to the event start. If you recently attended another virtual event and completed the required Virtual Orientation Training Session, this session is still required as information, resources, or processes relating to your current event may be different.

Virtual Session Software

Students are required to use Zoom meeting software to engage in synchronous virtual sessions. Go to the Zoom website to check your system requirements.

Virtual Attendance Requirements

100% attendance and participation in all sessions is required to earn a Satisfactory grade for your virtual experience and course.

In order to get the most out of your residency, lab, or intensive, you should treat the virtual experience in the same professional manner as if you were meeting in person.

  • We recommend you block off and adjust your personal and work calendars for the entire duration of the event, so you do not miss any sessions.
  • Attendance will be recorded for all sessions. The Zoom meeting and webinar software records your logins and logouts.
  • See the Schedule at a Glance to track your personal attendance.
  • Attend either a session or advising in every time block on the schedule.
  • Download resources and materials prior to the event to prepare for unforeseen technical challenges.
  • Arrive 10–15 minutes prior to the start of each session.
  • Input your first and last name when joining sessions. Nicknames are not permitted.
  • You must have your camera available for all sessions, and you will share your camera as directed by your instructor. Listen-only mode is not allowed.
  • As much as possible, you should be stationary in order to be fully engaged. It is difficult to be professional and attentive during sessions if you are moving, working, driving, being a passenger in a moving vehicle, biking, walking, cooking, cleaning, babysitting, etc.
  • Breaks between sessions and for meals are scheduled, so you will break at approved times as directed by your instructor. See the schedule for planning purposes.

Virtual Professionalism & Networking

Academic residencies, labs, and intensive retreats represent an important opportunity for students, faculty, and staff members to interact in a professional setting for the purpose of advancing student academic progress. It is important that this academic setting provides an environment that embodies the professionalism and ideals of the university.

All students are expected to:

  • Make efforts to interact positively and in meaningful ways with their peers, faculty, and staff.
  • Engage, network, and learn as much as possible to enhance their professionalism, their academic journey, and their overall Walden experience.
  • Be mindful of their body language and facial expressions as they would if they were meeting in person.

Virtual Workspace

The virtual event is a professional learning environment and your work area should be free from distractions.

  • You are expected to attend sessions in a quiet, private location where you will be able to actively participate and fully engage in group discussions.
  • Prepare a workspace that can be dedicated to your virtual experience for the duration of all live, synchronous sessions including:
    • Materials for note-taking
    • Comfortable seating
    • Power cords and outlet(s) for all electronic devices you will be using
  • Get organized. Block off your personal and work calendars for each virtual session meeting time so you do not miss any sessions. It is advised that you make arrangements to adjust your work, childcare, and all personal schedules as you would if you were traveling to an in person event so you can focus on learning.
  • As much as possible prior to each session, reduce or eliminate background noises and distractions such as pets, family members, noise outside your work area coming from open windows, etc. This will help you and other attendees remain focused during sessions.

Blended Academic Year in Residence (BAYR)

These courses are provided “in-residence,” which means that students will be dividing their time between online activities and activities completed in-residence with the majority of the instruction occurring face-to-face during the in-residence class meetings. This format will allow the student the opportunity to integrate the online didactic learning experience with hands-on skills demonstration. During the COVID-19 pandemic, this in-person experience has been temporarily replaced with 6 hours total of weekly synchronous virtual sessions with the course instructor and classmates.

100% attendance and participation in all event sessions is required in order to successfully complete your residency, skills lab, or pre-practicum.

Full participation in your online classes is also required while you are attending your residency, skills lab, or pre-practicum.

  • Your registration confirmation email provides important details about event start and end times for your program as well as the location of your residency, skills lab, or pre-practicum sessions.
  • You are expected to make travel arrangements that allow enough time for you to check in by the date and time listed in the schedule and stay until the conclusion of the last session on the last day of your event.
  • Late arrival to the event, early departure from the event, and/or missed sessions may result in the loss of academic units.
  • The schedule of daily sessions varies by event type, program, and location.
  • Notify your online instructors of the dates you will be attending the residency, skills lab, or pre-practicum. Be sure to work ahead on course assignments and discussion posts because your time attending the event will be filled with academic sessions, networking, and skill development.

For the complete daily schedule, see your registration confirmation email. The daily schedule will be available 2 weeks prior to the start of the event.

For residency, skills lab, or pre-practicum attendance and timing requirements by program, see Residencies: Timing table .

Canceling Due to an Emergency/Petition Policy

If you are canceling your residency, lab, or intensive due to an emergency, you may submit a Residency Petition Form and supporting documents within 14 days after the event to request a possible refund of residency, lab, or intensive registration fees. Submitting a petition does not mean that your registration will be canceled. Students will be asked to provide documentation supporting the student’s need to cancel the registration after the deadline. Documentation needs to provide evidence that the reason for late cancellation was unavoidable and unforeseeable.

Petitions and supporting documentation must be submitted to your student success advisor no later than 14 calendar days after the event ends. There are no exceptions to this policy. If you do not cancel before the cancellation date and do not have an approved petition through the above petition process, you will be billed and expected to pay the residency fee, whether or not you attend(ed).

See also the Residencies: Confirm or Cancel Your Registration and contact your student success advisor for additional details about canceling your residency, lab, or intensive due to an emergency.

Cancellation/Drop Policy for Residencies

In the 48 Contiguous States

Cancellations between 30 and 11 days prior to the residency start date will result in a refund minus a 5 percent cancellation fee. If you cancel after this deadline, you will be billed in full for the residency.

Canceling Due to an Emergency/Petitions

If you are canceling your residency due to an emergency, you may submit a Residency Petition Form and supporting documents within 14 days after the event to request a possible refund of residency, lab, or intensive registration fees. Submitting a petition does not mean that your registration will be canceled. Students will be asked to provide documentation supporting the student’s need to cancel the registration after the deadline. Documentation needs to provide evidence that the reason for late cancellation was unavoidable and unforeseeable.

Code of Conduct/Comportment

All students attending the residencies, labs, and intensives must comply with the policies and procedures in the Walden University Student Handbook

Residency and Lab Requirements

Residencies or labs are required for most doctoral programs and some master’s and bachelor’s programs. Timing requirements vary by degree program. Please also see the Residencies: Timing and Requirements and the Walden University Student Handbook for program-specific information.

Family/Guests at Residencies, Labs, or Intensives

Many students bring family and/or other travel companions with them to residencies or labs; however, only registered students can attend event sessions.

The hotel concierge on site can recommend activities for travel guests while you are involved in academic sessions. Also, child care is not provided at the event, and children are not permitted to attend academic or networking sessions. Contact the hotel to inquire about local child care facilities.

Please note: Family/travel companions SHOULD NOT travel with students attending Blended Academic Year in Residence (BAYR) residencies or doctoral intensive retreats.

Fees and Payment Policy

Please consult the Walden residencies website for residency, lab, and intensive fees specific to your program. Residency, lab, and intensive fees are billed in the term of the event/course and collected in accordance with the university’s billing cycle.

Financial Aid - Residency Policies

Students must be registered for at least one course in addition to a residency in order to be considered for financial aid. The Financial Aid Office reviews registrations at the start of each term and cancels federal aid for any students registered for a residency only. Students who do not register for a regular course along with the residency may apply for a loan through a private lender.

Visit the Tuition and Financial Aid page on the WaldenU website for more funding options. Students should consult with a Financial Aid advisor to determine whether they may qualify for financial aid.

If students are expecting a financial aid refund to help cover non-tuition residency expenses, refunds are released by the Bursar’s Office 14 days after the date of disbursement. The Bursar’s Office cannot expedite refunds, so students should keep this in mind as they make plans to cover the costs of attending a residency.

If students have questions about financial aid, disbursements, and residency fees, Financial Services is available 24/7 for support. Students should call 1-800-925-3368 to speak with a representative or live chat through their student portal.

See also the Residencies: Pay for Your Residency/Lab/Intensive.

For Washington State residents seeking information and resources about student loan repayment or seeking to submit a complaint relating to your student loans or student loan servicer, please visit Student Loan Advocacy or contact the Student Loan Advocate at loanadvocate@wsac.wa.gov

Inclement Weather

Walden takes student safety seriously. We continuously monitor situations surrounding Walden events and, if there is a situation where it is determined that an academic event cannot be held due to an event outside of our control (such as a weather-related event), we will notify registered participants as early as possible in order for them to make appropriate decisions and arrangements.

However, as students are traveling to Walden event from all parts of the U.S. and from outside the U.S., we cannot control if weather prevents a student from safely traveling. While we would never want a student to endanger themselves in order to attend an academic residency, lab, or intensive, students are responsible to attend any scheduled event for which they are registered.

Any student who does not attend for any reason may drop the course prior to attending or he/she will receive a failing grade and will be responsible for the tuition charged for the course. If a student wishes to not attend, he/she can drop the course via the myWalden portal or contact Student Success Advising to request to be dropped. Please review the Cancellation Policy.

Also note, if the academic event is still held, students may be financially responsible for some or all of the residency, lab, or intensive fees. If it is determined that a student was unable to attend due to situations beyond his/her control, he/she may petition for a fee refund and a grade change, but a refund and/or a grade change is not guaranteed. View Canceling Due to an Emergency for the petition process.

Walden Policy

If you are unable to participate in your live sessions for a period of 1 day or less due to weather-related issues, please email your cohort leader/instructor and academicresidencies@mail.waldenu.edu as soon as you are able.

If you are unable to participate in your live sessions for an expected period of 1 day or more due to weather-related issues, please contact Student Success Advising at studentsuccess@mail.waldenu.edu to petition the residency, intensive, or lab. Please include documentation of weather impacting your participation. Documentation can include, but is not limited to, documentation of weather conditions for your area, power outages for your internet service provider, and other relevant documentation.

Late Arrival to Residency, Lab, or Intensive and/or Travel Delays

Attendance is required for ALL sessions in order to successfully complete your academic event and course.

  • Your registration confirmation email provides important details about event start and end times for your program as well as the location of all of your event sessions.
  • You are expected to make travel arrangements that allow enough time for you to check in by the date and time listed in the schedule and stay until the conclusion of the last session on the last day of the event.
  • Late arrival, early departure, and/or missed sessions may result in the loss of academic units.
  • Daily sessions typically begin around 8 a.m. and last through early evening.

For the complete event schedule, see your registration confirmation email. The daily schedule will be available 2 weeks prior to the start of the event.

Missed Sessions

Students are encouraged to select an event they are able to attend from start to finish.

As students are expected to attend all event activities, faculty administrators do not approve student requests for late arrival or early departure unless it is an unavoidable situation (e.g., airline difficulties, death in family, personal or family illness, and religious observation). Residency faculty administrators should have predetermined alternative assignments ready to provide students in cases where a portion of a single session is missed.

Should you need to depart in the middle of an event or session, you must contact your program’s faculty administrator and determine how you will complete the hours and content missed. You are also required to sign out with the Academic Residencies staff prior to leaving the event.

In some situations, you may be asked to attend an additional event to make up for portions missed because of an unavoidable situation. If you miss parts of an event for avoidable situations, you will receive a “U” grade for the entire event.

If you have questions about flight delays, or travel emergencies, contact Academic Residencies. Academic Residencies will work with you and the faculty administrator for the specific program to make up any academic sessions that are missed. If you are concerned about arriving after registration closes, please contact Academic Residencies.

Recording of Residency, Lab, or Intensive Sessions

Recording of residency, lab, or intensive sessions is not permitted.

Qualified students should contact Walden University’s Student Wellness and Disability Services at EventAccommodations@mail.waldenu.edu at least 30 days prior to the event start date to discuss assistance for the event. Requests received with less than 30 days’ notice will be honored; however, these requests will be addressed as time allows. Therefore, necessary accommodations, services, or equipment may not be available by the event start date.

Religious Accommodations

Walden University embodies a culturally and spiritually diverse community and recognizes that, on occasion, certain members will observe practices that preclude them from attending to their regular duties. Students who are unable to participate fully in an academic event on a particular day during the calendar event dates for reasons of religious observance (e.g., Sabbath, Friday Prayers) must complete the the Religious Observance Request Form at least 30 days prior to the event start date.

Walden University makes every effort to provide options for religious observation for its students. To avoid possible scheduling conflicts, students are encouraged to review the calendar carefully. Please note that some academic events are scheduled during weekdays to reduce religious conflicts

Walden Policy

If you have religious traditions that may conflict with the requirements of the academic event (i.e., missing a full day of sessions), you are required to complete additional assignments to make up for the session(s)/day(s) missed. Complete the Religious Observance Request Form at least 30 days prior to the event start date to request a religious accommodation.

SEVIS/I-20 Policy for International Student Attendance at U.S. Domestic Residencies

The rules and regulations of the U.S. Department of State require all non-U.S. students attending Walden residencies in the United States to obtain a Form 1-20 from Walden University for entry into the United States.

Students who are citizens of visa exempt countries, Canada and Bermuda, do not have to apply for a separate visa; however, these students must obtain an I-20 and pay the SEVIS fee. Students from all other countries, including visa waiver countries, must also obtain an F-1 student visa for entry into the U.S. to attend Walden residencies.

Important: B-visa and ESTA visa waivers do not permit academic study. Students who enter the U.S. on the B-visa/ESTA visitor and business class will not be allowed to attend the residency. There are no exceptions to this policy.

To enter the United States on student status for your required academic residency attendance, as you pass through U.S. Immigration and Customs, please be sure to have your:

  •   Current passport
  •   F-1 visa (not required for citizens of Canada or Bermuda)
  •   Form-I-20
  •   Receipt from your SEVIS fee payment

Student COVID-19 Vaccination and Testing Policy

In the midst of the COVID-19 pandemic, Adtalem Global Education (Adtalem) and Walden University (Walden) want to assure you of their continued commitment to maintaining a safe and healthy educational environment. We are taking additional measures to protect you, your classmates, and your families from contracting and spreading COVID-19 by implementing a vaccination and testing policy, subject to the exemptions in this policy (explained below).

This policy is based on guidance from the Centers for Disease Control and Prevention (CDC), the World Health Organization (WHO), and other local administrative or governmental agencies and ministries, and is designed to comply with all applicable federal, state, and local laws.

Please read this policy carefully.

Vaccination Recommendation

Consistent with the CDC and WHO’s guidance, to prevent the infection and spread of COVID- 19, and as an integral part of its public health and safety measures, Walden University recommends that all students who attend in-person field experiences or academic residencies, labs, or intensives be fully vaccinated against COVID-19.

A person is considered fully vaccinated (“Vaccinated Students”) two weeks after having all doses of a vaccine (2 doses for Pfizer, Oxford-AstraZeneca and Moderna; 1 dose for Johnson & Johnson).

Students must also comply with their field experience site policies, which may require COVID-19 vaccination and/or COVID-19 testing. Students who do not comply with those site-specific requirements may experience delays in academic progress due to inability to complete the field experience requirement of the program.

In-person academic events hosted by Walden University, such as residencies, labs, or intensives will follow the COVID-19 protocol requirements of the jurisdiction and/or venue for the event. Any such requirements will be included in the event registration information. Students will not be able to register for these in-person events until all requirements are met.

We need your full cooperation with this and other health and safety protocols to make them effective.

Policy Modification

Government and public health guidelines, restrictions and best practices regarding COVID-19 and COVID-19 vaccines are changing rapidly as new information becomes available and further research is conducted. Adtalem and Walden University reserve the right to modify this policy at any time in their sole discretion to adapt to changing circumstances and safety concerns, consistent with its commitment to maintaining a safe and healthy educational environment.

Walden University is committed to maintaining a safe and secure environment for the university community. In support of this commitment, this policy sets forth rules governing the possession of weapons and simulated weapons in and around Walden University-sponsored events and activities including, but not limited to academic residencies, skills labs, pre-practicum events and intensive retreat locations.

A weapon is defined as any firearm, explosive, knife, club or other object that has been designed with the intent to harm another person or property (or replica of such a firearm or object) or any object used to inflict harm to another person or property.
